Two ways to use a mailbox

You can link one or more mailboxes to an assistant. Each mailbox has one purpose, chosen in the Usage setting.

Usage What happens
Use on AI assistants Each incoming email becomes a question to the assistant, and the answer is emailed back to the sender.
Use to receive IDP documents Emails and attachments are processed by IDP – ideal for invoices, delivery notes or reports. The sender can receive a receipt confirmation.

Use separate mailboxes for each purpose – it makes limits, senders and errors much easier to manage.

Setting up a mailbox

In the assistant’s context menu, open Email Inboxes and click Add.

Enter a clear Name, such as “Customer Support” or “Supplier Invoices”, and choose the Usage.

Under Incoming Mail, enter the protocol (IMAP or POP3), server, port, security (SSL or TLS), username and password. Click Incoming Mail Test to check the connection.

Under Outgoing Mail, enter the sender name and address and, if you have one, a dedicated SMTP server. Click SMTP Test. If you leave SMTP blank, the system’s settings are used.

Add a Footer Text for Automatic Replies, such as a disclaimer or contact details.

Save the mailbox and make sure it’s enabled.

Options for email replies

  • Integration – “Automatic” lets the assistant use integrations and workflows; “Knowledge only” answers just from your content.
  • Characters to Process – limits how much of each email is read, so long signatures and threads don’t use extra credits.
  • Responses per Sender and Responses per Conversation – cap automatic replies within 24 hours to prevent loops.

Good to know

  • Echo7 automatically ignores bounces, mailing lists, no-reply senders and other automated messages.
  • Set conservative limits on public mailboxes.
  • If a mailbox stops responding, check Last Check and Last Error in the mailbox list.
  • For IDP mailboxes, results also depend on your document types, layouts and validation fields.
