Who can manage users

Each person who works in Echo7 has their own login, role and permissions, so they only see and change what they’re authorised to.

Users can be created at manager level for your organisation (and at reseller or system level by those roles). A manager user can only see data that belongs to their organisation.

Adding a user

In the Data tab, open the contextual menu for your organisation, choose Users and click Add user.

Enter a Username, name, email address and phone numbers.

Set a password that meets your security settings. To make the user choose their own, set Password Expiry to now.

Set their permissions (see below) and save.

Setting permissions

For each area, you can grant these levels:

Permission Allows the user to…
Read View the information. Turning it off removes all other permissions for that area.
Write Edit the information.
Delete Delete records.
Add Create new records.
Admin Have full control, including managing other users’ permissions for that area.

For assistant teams, the key areas are AI Assistants, IDP Settings and IDP Requests. You can’t change your own permissions – another user with the right access needs to do it.

Two-factor authentication

If two-factor authentication is enabled for your system, users are asked to turn it on when they sign in. They can receive security codes by SMS or WhatsApp, by email or through an authenticator app such as Microsoft Authenticator or Google Authenticator.

  • Known devices aren’t asked for a code again until the activation code expiry period ends.
  • Each user receives a deactivation code by email, which they can use to turn two-factor authentication off.

Security tips

  • Give each person their own account – never share logins.
  • Grant the lowest permissions people need.
  • Users are locked automatically after too many failed sign-in attempts; an administrator can unlock them.
